Volvo Group Parts Order Desk Coordinator in Greensboro, North Carolina


This is a role that reports to a Parts Order Desk Supervisor and encompasses direct interaction to support Penta, Volvo, and Mack and Prevost dealers. This position is responsible for parts order status, expediting, case management, consistent follow-up, ownership and final resolution of all Dealer parts order inquiries related to Aftermarket.

Core Responsibilities

  • Acquire the basic competencies to support/training to internal/external dealers and co-workers

  • Ability to work any brand at the Order Desk where we continue to cross-training each individual as time allows

  • Consistently meet or exceed KPI standard of case volume and follow-up with high quality

  • No more than 20% not ready time for being in the phone queue

  • Team Player-Maturity working above and beyond; showing respect and sharing knowledge

  • Ability to work independently with minimal instruction/guidance

  • Skills to multi tasked and prioritize by handling multiple complex situations with an appropriate sense of urgency.

  • Agree to submit new ideas, growth opportunities, process improvements, environment and realized efficiencies for the Order Desk Team

  • Maintain personal accountability, ownership and follow up of my inquiries until resolved and closed

  • Working knowledge of all systems utilized by Team to perform all required functions

  • Utilize sound judgment, resolve difficult dealer issues expeditiously while maintaining confidentiality

  • Share the workload as well as supporting co-workers as needed. Must be a team player

  • Partner with multiple departments including Materials Management, Spare Parts Engineering, Pricing, Warehouse Operations, Transport, Suppliers, Carriers, and Technical Support etc. to ensure optimal resolution on all inquiries.

  • Participate in training day to day tasks with new employees.

  • Perform tasks assigned which may include Customer File maintenance, processing internal orders, reporting, initial orders, tool orders, programming, campaign tasks, etc. assigned by Management

  • Assisting with programming electronics (clusters, ECUs, etc.) as requested

  • Ability to work remotely as required. This could be from home or Volvo Distribution Center, etc.


  • Computer and data entry proficiency, with excellent written and verbal communication skills

  • Requires innovative problem solving, research and analytical skills

  • Ability to develop and maintain productive business relationships

  • High-energy with ability to work in a fast paced, dynamic and structured environment

  • Teamwork is vital to meet overall KPIs which are linked to individual performance reviews

  • Passion for satisfying dealers, internal customers and fulfilling commitments


  • High School Diploma

  • BA/BS degree preferred

  • Automotive experience favorable
